Terms and Conditions
TERMS AND CONDITIONS OF SALES
Mainland Ecuador & Galapagos Island
Ecuador Birds Tours consists in creating Top Tailor-made Birding, Nature and Wildlife
Packages in Ecuador including excellent accommodations and birding lodges, exotic birding
reserves, delicious meals, top birding and naturalist guides, quality transportation and
excellent service.
Booking Package Confirmation

One of our Travel Planners will block the tour and availability based on your
itinerary.
• Once we have received your initial deposit your reservation is then confirmed,
meanwhile is just blocked for temporary time.

Payment Policies
The following payments are required to confirm reservations: FIT (Free Independent
Traveler/Tourist):
A. Mainland Ecuador Birding Packages including Pacific Coast, Andes, West &
East Slope, Amazon Basin:
• $500.00 per person deposit of the total tour price to confirm your tour
• Total remaining Balance due 45 Days before Tour Starts in 1 or 2 instalments,
depending on your invoice.
B. With Galapagos Cruises and Island Hopping:
• Option A + 30% deposit of the total Galapagos Portion price to confirm your tour.
• Remaining Balance of the GPS Portion due 60 Days before Tour Starts
C. Day Tours from Quito
• 50% Down Payment to confirm your tour
• Remaining balance due 45 days before Tour Starts
All transactions must be in United States Dollars. Any expenses for transferring the funds via
Wire Transfer 1% Fee, Credit Card Visa or Mastercard 2.9% or American Express 3.9% must
be covered by the client and included in payments transactions.

In case we have not received your initial deposit 5 Days after your confirmation, your tour
will be cancelled with a notification of lack of deposit payment. And in case you need
additional time for the deposit please inform us via Email as well.
Cancellation Policies
A/B. Mainland Ecuador Birding Packages including Pacific Coast, Andes, West &
East Slope, Upper Amazon Basin, and Amazon Extension:
• $500.00 USD Non-Refundable Fee per person at the time of booking
• 91 Days or more full refund minus Non-refundable fee and bank transactions.
• 90 to 46 Days before the start date of your tour, a 50% Refund applies.
• 45 Days or less there is no refund.
C. Galapagos Cruises and Island Hopping Cancellation Policies (All Cancellations
must be done in writing):
• More than 121 Days before your Galapagos Tour departure date there is a penalty of
10% as cancellation fee + $500 non-refundable fee per person.
• Between 120 and 61 Days cancellation before your Galapagos Tour Departure Date,
20% of the total price will be forfeited + $500 non-refundable fee per person.
• 60 Days or less there is no refund and the entire amount will be retained.
D. Day Tours
• Non-Refundable 50% Down Payment at the time of confirmation and booking of your
Tour.
• 91 Days or more full refund minus Non-refundable fee and bank transactions.
• 90 to 46 Days before the start date of your Ecuador Birding Package, a 50% Refund
applies.
• 45 Days or less there is no refund.
COVID-19 Situation/Postpone Tours
In case the start of your tour is compromised by COVID-19 due to New Government
Regulations or similar reasons, and you cannot travel in your tour dates, we can postpone the
trip 1-Year Calendar with no additional fees. It will be the same itinerary in selected dates
that you can travel, based on availability.
Medical and Health
Trip members need to be in good health and good physical condition to be able to fully enjoy
an expedition to the Galápagos and/or mainland Ecuador. Experiencing the Galápagos
Islands may involve being on a boat with slippery decks/surfaces and wave activity as well as

frequent transfers ashore to landing sites, or to dive sites, aboard small boats known as
pangas, requiring some physical effort and balance. Some of the landings are on stone jetties
with wet, slippery lava rocks, while others take place on sandy beaches with some surf.
Traveling through the Highlands of Mainland Ecuador may involve experiencing high
altitudes typically between 2,500 and 4,000 meters above sea level. If a passenger suffers
from any medical condition that might impact their travel experience, they should consult
with their physician before participating in a Galápagos or mainland Ecuador expedition to
ensure that they are fully capable of undertaking the trip.
It is good practice for travelers to purchase a comprehensive travel insurance policy.
Most importantly, a travel insurance policy should include medical coverage, including
coverage for emergency evacuation. This coverage is essential for passengers to manage the
risk of such expense where their health and safety are concerned. Passengers not having this
coverage will be required to cover their own medical evacuation costs under most
circumstances. Also, policies should include trip cancellation, trip interruption, and baggage
loss. Though it is unlikely, various reasons may cause trip interruption/cancellation including
but not limited to: actions of the Galápagos National Park, actions of the Ecuadorian or
international authorities, weather conditions, travel restrictions, mechanical and operational
problems, international or domestic airline problems, and other unforeseen circumstances.
For these and other reasons, it is a condition of purchase that all passengers have a
comprehensive insurance policy covering at a minimum appropriate medical cost, trip
cancellation, and trip interruption coverage.
Visa Documentation
A valid passport is required for travel to mainland Ecuador and the Galápagos Islands.
Travelers’ passports must have an expiration date of more than 6 months after the date of
entry to Ecuador. Most tourists are allowed to stay up to 90 days within a year’s
timeframe. It is recommended to check with the Ecuadorian consulate or embassy in your
country, the latest regulations for entering Ecuador.
Special Diets
Ecuador Birds Tours, it’s Partners and Lodges offers a varied menu, including international
and local cuisines, designed to accommodate a variety of dietary needs including vegetarians,
vegan, any special requests. Passengers with special dietary needs must address their
requirements in our “Passenger Information Sheet” at least 30 days before arrival to Ecuador.

Jurisdiction
This contract/terms and conditions should be subject to the laws and the exclusive
jurisdiction of the Ecuadorian courts. In the case of arbitration, the procedure will be carried
out with the assistance of a mediator from the Chamber of Commerce of Quito (CAMCCQ).
